Hire Terms & Conditions
By making a booking and paying the deposit amount(s) clients confirm their acceptance of these hire terms and conditions without reservation.
The expressions “Vehicles” means the vehicles described as Vehicle Requested in the booking form or a Vehicle of an equivalent specification or as near as is possible. The expressions “We, Us and Our” refers to “Groom Wedding Cars” or its representatives.
Groom Wedding Cars Obligations
Groom Wedding Cars agrees to supply their company Vehicle or on occasion act as agent in obtaining a Vehicle not available from our own fleet and provide such Vehicles fully insured for the purpose of hire to the public. The Vehicle supplied shall be fit for purpose and in a road worthy condition and offered with a qualified and licensed driver should licensing be necessary.
Groom Wedding Cars reserve the right to provide an alternate Vehicle from its own available or other if the Vehicle requested is unavailable due to breakdown, accident, illness or any other reason.
The Customer shall pay Groom Wedding Cars for the use of the Vehicle and chauffeur at the rate as stated in our quote.
Groom Wedding Cars shall pay its own drivers or where acting as agent, the supplier for the use of the Vehicle by way of an independent contract unless otherwise stated.
Bookings are confirmed once the deposit has been paid. All amendments to booking form must be in writing.
The £100 reservation fee per vehicle is non – refundable. Notification of any hire cancellation must be given by the client in writing.
We may be able to book vehicles at short notice, for these bookings (made within 4 weeks of the service) the full balance will be due at the time of booking.
Should the Customer cancel the booking for any reason they will be subject to the following charges based on full quoted price per booked vehicle:
- Cancellation within 30 days of booking – full payment due;
All cancellations must be in writing to Groom Wedding Cars. Unit B, 11 Scarva Road Industrial Estate, Banbridge, BT32 3QD.
Any alterations made to the booking on the day of the service or a request for additional time may incur an extra charge or may not be honoured if that conflicts with another booking. In usual circumstances, the wedding hire contract is for the collection from the pickup address to the Church/venue and then to the reception.
On occasions, at the sole discretion of the company, there may be other special instructions or services that are supplied, by special request, on a ‘no cost’ Goodwill basis. Customers should be aware that extras that have not been charged for are strictly excluded from the contract, invoice or any refund, which may occur. Therefore, no refund is ever due, in any circumstances, that a discretionary item is cancelled or unavailable for whatever reason. The company recommends that you be covered with adequate travel insurance.
The principle hirer will be responsible for the conduct of all passengers during the service and we reserve the right to invoice or make a charge to the hirer for any losses or damage sustained to any part of the vehicle caused by any passenger or a third party incited to cause damage to the vehicle or through food, drink or illness.
Use of Vehicle
The Vehicle shall be at the Customer’s disposal during the Contract Period for the carriage of the Customer and (subject to the carrying capacity of the Vehicle not being exceeded) the Customer’s nominees. Provided that the Vehicle shall not be used otherwise than on public roads except on a private driveway leading to a dwelling house or place of public resort and being of a reasonable standard.
The Customer shall not require Groom Wedding Cars or Vehicle driver to use the Vehicle to break any provision of the Road Traffic Acts under the Road Traffic Regulation Act 1984 the Vehicle Excise and Registration Act 1994 and any regulations made under such Acts.
All vehicles are non-smoking without exception. Law prohibits smoking in vehicles used by the public – The Company adopts a strict No Smoking policy.
No food or drink will be allowed in and vehicles unless prior consent has been given by the company.
Passengers are required to wear seat belts where fitted.
We do not provide our vehicles with the child car seats, so we advise our clients to provide and fit their own child seats and booster seats, if required to our modern fleet only, for their children’s safety (has to be agreed with the company). Our chauffeurs will not be responsible for the fitting of the child car seats. Children over the age of 4 years are legally allowed to travel in the back seat without child restraints; however an adult for all journeys must accompany children. Children must behave and remain seated at all times.
Violence, foul language, intimidation antagonism or any form of anti-social behavior towards the Chauffeur or any member of this company’s staff will not be tolerated and will result in the immediate termination of the service and police involvement. Acts of vandalism or malicious damage caused to the vehicle will face prosecution.
The company offers a policy of total discretion for all clients, our Chauffeurs will not discuss who travelled with us, to where or with whom unless authorised by you to do so. The exception to this policy is wedding photography for company promotional purposes. Therefore, unless formally instructed to the contrary, we may take photographs at weddings and publish them in company literature or on the website. If you do not wish to have your images used please make us aware of this in writing when paying the deposit or balance of the service.
Limitations of Groom Wedding Cars
All vehicles prepared and cleaned before a wedding but Groom Wedding Cars does not accept any liability for clothing becoming marked or stained by oil/grease, road dirt or exhaust fumes from the vehicle.
Every effort is made for vehicles to be supplied in fully working order, but Groom Wedding Cars cannot accept any responsibility for breakdown, traffic problems, road closures, weather or any other unforeseeable factor, which may cause delay.
The company recommends that you be covered by adequate wedding insurance.
If the car you have booked develops a fault that cannot be rectified in a timely manner a second vehicle will be dispatched as a replacement. If the value of the replacement vehicle is less than the hired vehicle the difference will be refunded, if the value of the replacement is greater-there will be no extra charge added. The decision will be given to the hirer whether to accept this option before we leave our base. If this option is not accepted by the hirer then a full refund will be issued and our liability will be no further.
Should we experience the total breakdown of a vehicle during the hire period, it is very unlikely that a replacement vehicle can be supplied due to distance and time constraints. Reimbursement will be made at our discretion and will be proportionate taking into account any journeys completed or partly carried out, administration and other expenses already expended. The Hirer, upon the reservation of any vehicle(s) accepts that each of our vehicles is a one off and there is only one of each model available. Should it be necessary to substitute a vehicle, an identical vehicle(s) will not be possible.
Our chauffeur will try to help to organize a taxi company to provide a substitute vehicle, as we cannot be responsible for the service they offer, the condition of the vehicle they provide or the professionalism or attire of their staff.
It is always advisable to have a back-up plan should the worst happen on your wedding day for any vehicle you may have booked. Check that you have a friend, relative or neighbour available to take you to your ceremony ‘just in case’. Keep local taxi firms phone numbers to hand and consider taking out wedding insurance.
Groom Wedding Cars liability in respect of any failure to provide any services under this agreement shall be limited to the amount of the hire charge payable to Groom Wedding Cars in respect of the period of such failure. Groom Wedding Cars shall not be liable for any pecuniary or consequential loss allegedly arising from any breach of this agreement with Groom Wedding Cars.
For unknown reasons a vehicle may not start when required to. This may cause a delay. Getting the car going again can vary in the time it will take. Old cars are more likely to experience these glitches, which can occur more frequently in warm weather. Unfortunately, this is inherent of old cars. They DO NOT perform like a modern vehicle. The Hirer expressly accepts upon booking that in hiring vintage and classic vehicles the chance of a temporary glitch causing a delay will be much higher than a modern/new car. The Hirer accepts that a vehicle may not start on demand and may result in a delay and a claim for refund /compensation will not be made or accepted.
Our Chauffeurs will choose the route based on experience, knowledge of the local area and use of satellite navigation; however we are not responsible to have prior knowledge of busy locations, road works, level crossings, traffic lights, events or any incident en-route which may cause delay.
The chauffeur will decline to transport passengers or luggage if, in his opinion, the vehicle is overloaded or passengers are unsafe to travel.
Our Chauffeurs will check the vehicle for passengers belongings left in the vehicle after a service. However, the Company cannot be held responsible for any item broken during the journey or left in the vehicle after the service. It is up to the hirer to ensure they have all their belongings at the end of the service.
